We use account and contact details, property addresses, access notes supplied by you, appliance/heating information, bookings, job notes, reports, photographs where relevant to work, subscription status, invoices and payment references. We do not store full card details in Property Care 365.
We process information to set up and perform the Property Care 365 contract, manage properties and appointments, provide plumbing/heating services, take and reconcile payments, issue reports and invoices, keep business and safety records, prevent abuse and comply with legal obligations.
The main bases are performance of a contract, compliance with legal obligations and our legitimate interests in operating, securing and improving the service, managing accounts and resolving disputes.
We use service providers including Supabase for the application/database, Stripe for payments and invoicing, and Google Calendar for appointments. Where a specialist or subcontractor is needed, relevant information may be shared to arrange or perform the requested work.
We keep information for as long as needed to provide the service, maintain appropriate service and accounting records, handle claims or disputes and meet legal obligations. We periodically review data that is no longer required.
Depending on the circumstances, you may have rights to access, correct or erase information, restrict or object to processing, and receive certain information in a portable form. You may also complain to the UK Information Commissioner's Office.
Property Care 365 uses authenticated accounts, database row-level security and restricted administrative access. Payment card handling is provided by Stripe rather than stored directly in the Property Care 365 database.
